Privacy Policy
Last updated: [effective date]
This Privacy Policy explains how [DRMS legal entity] (“DRMS”, “we”) collects, uses, and shares information in connection with the DRMS voice AI answering service and client portal (the “Service”).
1. Information we collect
- Account information — names and email addresses of office staff who access the portal.
- Communications data — when the assistant answers or places a call, we process the call audio, transcript, and summary; when messages are exchanged, we process SMS and email content.
- Contact information — names, phone numbers, and details that callers provide.
- Usage data — logs, device, and diagnostic information.
2. How we use information
We use information to operate the Service — answering and placing calls, booking appointments, capturing contacts, sending messages, and presenting this activity in the portal to the participating office (the “Office”) — and to provide support, secure the Service, and comply with law.
3. Text messaging (SMS)
We process mobile phone numbers to send service-related text messages on behalf of a participating Office, such as confirmations, reminders, and replies. You may reply STOP at any time to opt out.
We do not sell, rent, or share mobile phone numbers, SMS opt-in, or consent information with third parties or affiliates for their own marketing or promotional purposes. Messaging consent and related data are used only to deliver the messaging program described in our Terms.
4. How we share information
- Service providers — telephony, messaging, hosting, and payment providers under contract, only to operate the Service.
- The Office — the office on whose behalf the assistant acts can see its own callers’ interactions.
- Legal — where required by law or to protect rights and safety.
- We do not sell personal information, and mobile/SMS opt-in data is never shared for marketing (see section 3).
5. Data retention
We retain information for as long as needed to provide the Service and as required by the Office’s records-retention obligations and applicable law.
6. Security
We protect information with measures including hardened password hashing, encryption in transit, and access controls that restrict portal data to each Office’s authorized staff.
7. Your rights
Subject to applicable law and the Office’s records obligations, you may request access to, correction of, or deletion of your personal information, and you may opt out of text messages at any time. Contact us using the details below.
8. Children’s privacy
The Service is not directed to children under 13.
9. Changes to this policy
We may update this Privacy Policy from time to time; the date above reflects the latest version.
